Policy Brief and Purpose

Our Code of Conduct and Policies outlines our expectations regarding all volunteers’ behavior towards their colleagues, supervisors, and the overall organization.

Volunteers’ Code of Conduct

Volunteers are bound by their contract to follow our Code of Conduct and Policies while performing their duties. We promote freedom of expression and open communication. However, we expect all volunteers to avoid offending others and participating in serious disputes, and we require them to foster a well-organized, respectful, and collaborative environment.

Scope

These policies apply to all volunteers of Anime For Humanity regardless of agreement or rank.

Social Code

Anime For Humanity is committed to providing an environment free from discrimination and unlawful harassment. Actions, words, jokes, or comments based on sexual orientation, race, ethnicity, age, religion, or any other legally protected characteristic will not be tolerated. Volunteers are encouraged to report any incidents of harassment immediately to a direct staff member or supervisor.

Policy Elements

Compliance with Law

Volunteers must be ethical and responsible when handling Anime For Humanity’s property, products, partnerships, and public image.

Protection of Property

Volunteers must treat property (material or intangible) with care.

1. Do not misuse or waste equipment.
2. Respect intellectual property, including logos, mascots, software, and other proprietary assets.
3. Avoid theft or unauthorized removal/possession of Anime For Humanity property.

Return of Property

All Anime For Humanity property, including files, keys, and access credentials, must be returned by the volunteer’s last day.

Conduct

The following actions may lead to dismissal:

• Volunteering under the influence of alcohol or illegal substances.
• Failure to perform duties efficiently as outlined in the role description.
• Creating disturbances that jeopardize safety.
• Altering records or leaking sensitive information.
• Disrespectful behavior or lack of cooperation.
• Repeated absences from team calls (four consecutive meetings).

Resignation Policy

Volunteers should provide a minimum one-week notice unless in cases of emergency. Failure to provide notice without a valid reason may result in a three-year ban from future volunteering opportunities.

Termination Policy

Anime For Humanity reserves the right to dismiss volunteers who violate policies or fail to support the organization’s mission. Documentation will be provided for terminations, including a Dismissal Letter.

Privacy Policy

Anime For Humanity protects the personal information of volunteers in compliance with relevant privacy legislation. Personal information includes, but is not limited to, contact details, demographic data, and identifiers.

Onboarding and Orientation

All volunteers must attend onboarding and training relevant to their role.

Communication Guidelines

Volunteers should use open channels like Slack for project communication and avoid direct messages unless necessary.

Waiver and Release of Liability

1. Volunteers understand their relationship with Anime For Humanity is voluntary and unpaid.
2. Volunteers waive claims against Anime For Humanity for injuries, illnesses, or property damage.
3. Volunteers release Anime For Humanity from liability for emergency medical treatment provided during volunteer service.
4. Volunteers assume risk associated with their service.
5. Volunteers grant Anime For Humanity rights to use photographs, videos, or recordings involving them.
6. This waiver is governed by the laws of California and remains in effect until revoked in writing.
